Workload per person

See per person and per week how many hours are planned, and who is overloaded or still has room.

The workload shows how much work is planned for each person, week by week. It compares that with the hours someone works per week. At a glance you can see who is too busy and who still has room.

Add a workload view

  1. Open the board.
  2. Next to the views, click + (Add view) and choose Workload.
  3. Qyveno picks the first suitable columns for you. If they're not right, click Settings.

The workload needs a person column and a date or timeline column, on the items or on the subitems. A column with hours is optional. Without one, each item counts as one task.

Settings

In the view's toolbar, click Settings. You choose:

  • Hours are on: Items or Subitems.
  • Person: who does the work.
  • Hours: a number or planned hours column. Choose None: count tasks to count tasks instead of hours.
  • Date: a date or timeline column.
  • Does not count: statuses to leave out, such as Done.
  • Hours per week when nothing is set: for people who don't have their own hours yet. The default is 40.

You see your changes right away, but only you do. Click Save to view to keep them for everyone, or Revert to throw them away.

How to read the workload

Each row is a person, each column a week. Each cell has a bar with the planned hours.

  • Under 50% the bar is light, from 50 to 100% it's full, and over 100% it turns red: that person has more work than hours.
  • An admin sees the hours themselves, for example "30 / 32 h". Everyone else sees the planned hours and a percentage, for example "30 h · 94%".
  • Work without a person appears in the Unassigned row.
  • Click a cell to see which items are in it. Click an item to open it.

Use the arrows to go back or forward a period, and This week to return to now. Choose 4, 8 or 12 weeks, or use Search person. On a phone you see one week at a time.

How hours are spread

  • With a single date, all hours count in the week of that date.
  • With a timeline, the hours are spread evenly over that person's working days in that period.
  • With a Planned hours column, you enter a total and how many hours per week go into it. The workload then spreads the total over the weeks. Under The date is, choose whether the date is The start or The deadline. A timeline wins: then the period counts, not the hours per week.
  • If the person column holds several people, each of them gets the full number of hours.

Hours and working days per person

An admin sets how many hours each person works in Administration › People. Enter Hours per week there (0 to 80, in half hours). Under Workdays, turn days on or off. As long as you don't change anything there, the organization's working days apply, and it says Organization underneath.
