Connect your mail account
Connect your own mail account, so automations and workflows send email from your own address.
An automation or workflow can send an email. That email goes through a mail account you connect yourself. This way the email comes from your own address, and replies arrive in your own mailbox. As long as there is no connection, the emails wait in the Outbox.
Add a connection
You connect a regular mail account using the details of your mail server (SMTP).
- In the sidebar, go to Workflows and open the Connections tab.
- Click Add connection.
- Under Provider, choose your provider. For Strato, TransIP, Hostnet, Outlook.com / Microsoft 365 and Gmail / Google Workspace, the server and port are filled in for you. If your provider is not listed, choose Other provider and fill in the Server, Port and Encryption yourself.
- Fill in the Email address (sender), the Sender name, the Username (usually your email address) and the Password.
- Click Save and send test email.
Qyveno first sends a test email to your own address. Only when it arrives is the connection added to the list. If it fails, the window stays open with the reason, and nothing is saved. Adjust the details and try again.
Gmail and Outlook: an app password
Gmail and Microsoft 365 usually do not accept your normal password here. You need an app password instead.
- Gmail: turn on 2-step verification in your Google account and create a password for "Qyveno" under Security › App passwords. Paste those 16 letters into Password. If Google wants an app password and you use your normal one, the app tells you so when it sends the test email.
- Outlook.com and Microsoft 365: create an app password under Security in your Microsoft account. With Microsoft 365, SMTP must also be enabled for your mailbox. If it is off, the app tells you that Microsoft does not allow signing in with a password. Ask your IT admin to turn on "Authenticated SMTP" for your mailbox.
Signing in with your Microsoft or Google account itself is not possible yet. Those options are shown in the window as Coming soon.
Use a connection
In the email action of an automation or workflow, you choose under Send through which connection sends the email. If you choose nothing, the email goes through the organization's default connection.
- You can choose your own connections and connections shared with the organization.
- An admin can open ⋯ on a connection and choose Share with the organization and Make default. That way a team mailbox such as info@ can be used by everyone.
- If there is no connection and no default, the rule tells you. The emails then wait in the Outbox.
You can add a connection if you are allowed to create automations or workflows. A viewer cannot.
Limits
- Each organization sends at most 500 emails per day.
- An email has at most 50 recipients. Every recipient gets their own email and does not see the other addresses.
- Your own provider may have a daily limit too. If it refuses, you see the reason with the email.
When a connection stops working
If the mail server rejects the password, for example because you changed it, the connection gets the status Expired. The owner of the connection gets a notification under the bell. Emails that go through that connection then wait.
- Open Workflows › Connections.
- Click ⋯ next to the connection and choose Change password.
- Enter the new password and click Save and send test email.
When the test email arrives, the connection is back on Connected and the waiting emails are sent after all. An email that has waited more than 7 days is no longer sent. For every email in the Outbox you see the status, the account it went through and, if something went wrong, the reason.
