Workflows

Build a multi-step workflow on a canvas, with branches and wait steps, and follow every run.

A workflow is an automation with several steps. You build it on a canvas: step by step, one below the other, with branches and wait steps. Afterwards you can see for every run which path it took.

Workflow or automation?

It's the same kind of rule, just bigger. A rule with more than one action, a branch (if, then, otherwise) or a wait step is called a workflow. Everything else stays a regular automation.

So a workflow also appears in the automation center, and you can open a regular rule on the canvas too. The canvas is most useful when a rule gets long: you see the steps and the branches side by side.

Open your workflows

  • For one board: in the board header, click Workflows. The number next to it is how many workflows the board has.
  • For the whole workspace: click Workflows in the sidebar.

You'll see an overview with each workflow's name, What it does, whether it is Active, the last run and the owner. Turn on Include automations to see the regular rules as well.

Build a workflow

  1. Click New workflow and choose Blank canvas or From a template.
  2. In the first block, the trigger, start by choosing the Board the workflow is for. If you started from a board, that board is already filled in.
  3. Then choose when the workflow starts, for example Status changes.
  4. Click the + on a connection to add a step.
  5. Click a block to fill it in. A panel with fields opens on the right. An asterisk means the field is required.
  6. Click Done to save.

The + lets you choose from these steps:

  • Condition (Yes / No): the workflow splits into a Yes branch and a No branch.
  • Wait until …: the run waits until a column has a certain value.
  • Only if …: a condition for the whole workflow.
  • Actions: what should happen, such as setting a status or creating a subitem.

If a block isn't finished yet, it gets a red border and nothing is saved. Click the block to see what's missing.

To change an existing workflow, click Edit workflow. Use the switch in the header to set it to Active or Off. From the menu next to it you can duplicate, export or delete it. A copy starts out switched off. Deleting is permanent.

View runs

In the header, click Run history. On the right you see all runs of this workflow, with their status and time. You can filter by status and period.

  1. Click a run.
  2. Click View path. The blocks the run went through light up on the canvas. You can also see where a run failed or where it is still waiting.

The Analytics tab shows how often the workflow ran, its success rate, the average duration, the most common error and how often each block was reached.

Run a workflow yourself

With Run now you start a workflow without waiting for its trigger. Choose the item it should run for and click Run. If the workflow is off, you can choose Run it anyway.
