Add and set up columns
Add columns from the Column Center, make a column required, give it a description and calculate with the formula builder.
Columns decide what you track for each item: who is working on it, the status, a date, an amount. A new board has only the name column, so you add the rest yourself.
Add a column
- Click the + to the right of the last column header (Add column).
- Pick a type from Essentials or Super useful, or type what you are looking for in the search field, for example "deadline".
- The column appears right away. Type a title and press Enter.
Can't find the type you want? Click More columns at the bottom. The Column Center opens with every type, sorted into categories such as Board connections and Time. Pick one and click Add to board.
Some types ask you something first. Connect boards wants to know which board to connect to. Formula opens the formula builder (see below).
The main column types
- Status: colored labels such as Open, Working on it and Done. You see at a glance how far along something is.
- People: who is working on it or responsible for it.
- Date and Timeline: a deadline, or a start and end date shown as a bar on the timeline.
- Numbers: quantities, amounts or hours, with the sum under the group.
- Text and Long text: a note or description.
- Dropdown: one or more values from a fixed list.
- Checkbox: on or off, such as done or approved.
- Connect boards and Mirror: link items to items on another board, and show a column of that linked item.
- Formula: calculate with the values of other columns.
There are more, such as Priority, Country, Email, Phone, Tags, Files and Planned hours. You find them all in the Column Center.
The column menu
Hover over a column header and click the three dots. Among other things you find:
- Settings: depends on the type, for example the labels of a status column or the unit of a number.
- Add description: a short explanation of at most 300 characters. It shows as ⓘ after the title, and as help text on a form.
- Required: a new item must then have a value in this column, and a value can no longer be cleared. Cells that were already empty stay empty. Choose it again to turn it off.
- Duplicate column, Add column to the right and Change column type.
- Rename and Delete.
Move columns
Drag a column header to another spot. Without a mouse, use Move left and Move right in the column menu. A new order applies to everyone on the board.
Calculate with a formula
A formula column calculates with the values of other columns. Add a Formula column and the Formula builder opens.
- On the left, under Columns & labels, pick a column. It goes into the formula between curly brackets, such as
{Hours}. - Under Functions & constants, pick a function, or type the formula yourself.
- Below the formula you immediately see the result for the first item, or a message if something is wrong.
- Click Set formula.
A few examples:
{Hours} * {Rate}works out the amount.IF({Status} = "Done", {Amount}, 0)only counts the amount when the status is Done.DAYS({Deadline}, TODAY())gives the number of days until the deadline.
To change a formula later, use the column menu: Settings › Edit formula.
