The toolbar above your board
What each toolbar button does: new item, search, filter, sort, group by, hide, import and export.
Below the view tabs sits the toolbar. You use it to add items and to decide what you see. A table view has every button. A Gantt view only has the buttons that do something there. A form and the workload view have their own bar.
New item
The New item button puts a new item straight into the first group. If the board has required columns, you fill those in first in a small window. If your board uses its own word, the button says so, for example New task.
The arrow on the right of that button opens more ways to add something:
- New item via form: a window where you fill in the name and the columns of this view before the item is created. Required columns are always included.
- Add new group: type a name and press Enter.
- Import: bring in items from a file (see below).
Search and filter
- Search: click it and type. You only see the items that match. Esc or Clear search empties the field again. What you search for is only visible to you.
- Person: pick one or more people and see only their items.
- Filter: filter on any column, with quick or advanced filters. The arrow next to it opens the advanced filters straight away. See Views, filters and sorting for how it works.
When a filter is on, the button is highlighted and shows the count after it, for example Filter / 2.
Sort, hide and group by
These three buttons only appear in a table view.
- Sort: pick a column, then Ascending or Descending. Clear sort brings back the normal order.
- Hide: untick the columns you don't want to see in this view. The name column always stays visible. Show all columns brings everything back.
- Group by: show the items by the value of a column, for example by status or by person, instead of in the board's groups. For a date you choose per day, week or month. Board groups takes you back. Under Within each group by you can also add headings inside the normal groups.
Whatever you set with these buttons and with the filters applies only to you at first. Save to view keeps it for everyone, and Revert undoes it. On the main table that button is called Save as new view.
Import from a file
Have a list in Excel or another program? Save it as CSV and import it. You find Import under the arrow next to New item, and also in the menu with the three dots at the top right of the board header.
- File: drag the file into the window or click Choose file. A CSV or TSV file with the column names in the first row, at most 5 MB and 5,000 rows. Qyveno detects the separator itself.
- Map columns: for each column in your file, choose where it goes. One column becomes the Item name. You can also choose Create new column or Do not import. Pick the group the items go into, or create a new one.
- Review: you see per column what doesn't fit, such as a date that can't be read. Those cells stay empty. Labels that don't exist yet can be added right away.
Then click the button to import the items. Automations that run when an item is created don't run for an import. Formulas do calculate.
Export
Click the three dots at the end of the toolbar and choose Export. You get a CSV file with the items this view shows right now, so with your filters and search applied. You can open that file in Excel. Export is only available in a table view, and only if your role allows it.
